When you have decided upon your chosen venue Calder will formally confirm with the venue, clearly outlining the finer details of your event. We can also assist in the detailed organisation and administration, and will be pleased to liaise direct with your chosen venue.

After raising confirmation, your chosen venue will usually expect you to sign a contract to guarantee the booking. Calder have specialists within the Conference Department who check contracts on behalf of our clients - We have evidenced that over 40% of venue contracts have errors on them that may materially affect your event in some way.

Once agreement is reached on the contractual terms we will endeavour to negotiate modified terms and conditions with them - this helps should you need to postpone, amend or cancel the event in the future. By our association with the HBAA and MIA we utilise our membership status to achieve at the least the minimum terms generally adopted by industry.

When we feel confident in the actual terms and conditions being implemented will will advise the venue to raise a contract with you.
